Transforming Collaboration: Co-operative Bank of Kenya’s Digital Leap

A Storied Institution Meets Modern Collaboration

Founded in 1966 and publicly listed in 2008, Co-operative Bank of Kenya has grown into a banking behemoth—serving over 8 million customers, with assets exceeding KES 404 billion and more than 4,500 employees across 150+ branches. Partnering with NTT, the bank embarked on a digital transformation to revamp its collaboration and communication infrastructure.

The Imperative for Cloud-First Collaboration

The bank’s aging on-premises email and document storage systems were inflexible and increasingly failed to support agile teamwork. To elevate customer experiences and operational cohesion, the bank sought cloud-based solutions that enhanced versioning, reduced storage burdens, and empowered distributed teams.

Seamless Microsoft 365 Migration

Choosing Microsoft 365 as the cornerstone for modern collaboration, the bank, with NTT’s guidance, migrated to Exchange Online, SharePoint, and Teams. The new platform bolstered document version control, enabling employees to communicate and share intelligently. Less reliance on legacy storage resulted in smoother user interactions and improved efficiency.

Structured Change Management Accelerates Adoption

Musoft implemented a robust change management framework focusing on awareness, desire, and knowledge:

  • Awareness: Leadership endorsement drove visibility; all staff understood the migration’s scope and importance.
  • Desire: Executive adoption of Teams—especially during COVID-19—demonstrated value. HR used Teams for critical pandemic communications.
  • Knowledge: Training sessions by joint teams empowered users. Direct-routing via Teams further enabled customer service continuity during remote work.

Dramatic Outcomes and Workforce Engagement

The transformation sparked rapid uptake: 94% of employees now collaborate via Microsoft 365, while Teams is the primary meeting tool for 80% of staff. The bank gained IT agility, reduced maintenance burdens, and accelerated digital innovation across the enterprise.

A Cloud-Enabled Future for East African Banking

Co-operative Bank of Kenya’s modern, cloud-first collaboration platform has become a catalyst for resilience and innovation. With its workforce now digitally interconnected and agile, the institution is well-positioned to lead Kenya’s banking sector into a future built on seamless collaboration and customer-centric digital services.
